1. Leave Request and Approval
All employees must submit their leave request through the official communication process. Having an available leave balance does not automatically mean that leave is approved. Leave must be requested, communicated, and approved through the prescribed process.For all leave requests and related concerns, employees must send an email to the official company email address and mark the Support Team in CC.

Employees should provide the leave date, duration, reason, and any relevant information required for review.

2. Advance Leave Request
Planned leave should be requested sufficiently in advance to allow work allocation and operational planning. Employees should not assume that a leave request is approved until confirmation is received from the authorized manager or management team.

3.Emergency Leave
In case of a genuine emergency where advance notice is not possible, the employee must inform the management or Support Team as soon as reasonably possible and complete the required official communication process.Failure to communicate an absence without reasonable cause may result in the absence being reviewed as unauthorized leave.

4.Half-Day Leave
Employees requiring a half-day leave must inform the management and follow the official leave request process. Availability of leave balance alone does not automatically regularize an unreported half-day absence.If an employee leaves work, remains unavailable, or works only part of the scheduled working period without proper communication or approval, the attendance record may be reviewed based on available attendance and work records.

5. Unauthorized Leave or AbsenceAn absence may be treated as unauthorized where an employee fails to follow the required leave communication and approval procedure, subject to review of the circumstances and applicable company policy.Unauthorized absence may affect attendance records and payroll processing. Any wage deduction or leave adjustment will be handled in accordance with applicable employment terms, company policy, and applicable law.

6. Employee Dashboard and Attendance Responsibility
★ All employees are required to regularly monitor their Employee Dashboard and attendance records.
★ Employees must follow the daily process correctly:
★ Log in to the Employee Dashboard.
★ Click Start Work before beginning work.
★ Complete assigned work and responsibilities.
★ Click Stop Work after completing work.
★ Enter accurate Project Details, Work Details, completed file/task count, and required Remarks.
★ Log out after completing the process.

Employees are responsible for promptly reporting missing entries, incorrect working hours, attendance discrepancies, or technical problems to the Support Team.

7.Attendance and Leave Verification
Attendance may be reviewed using relevant company records, including Employee Dashboard records, approved leave records, official communications, and work records.Employees must report any attendance discrepancy promptly. Once attendance records are finalized and submitted for verification or payroll processing, late correction requests may require additional review and supporting information.

8. Leave Balance
Eligible leave balances will be maintained according to the employee's applicable employment terms and company policy. Where a leave accrual system applies, the employee dashboard or official leave record should be regularly checked by the employee.An available leave balance does not remove the requirement to request and obtain leave approval.

9. Official Communication
Leave requests, attendance concerns, salary-related concerns, and personal HR matters should be communicated through the designated official channels.Employees should avoid discussing individual salary, leave, attendance disputes, or confidential HR matters in general WhatsApp groups. Such matters should be communicated privately through official email or directly with the authorized Support or Management Team.

10. False or Incorrect Information
Employees are expected to provide accurate information in leave requests, attendance records, Project Details, Work Details, and Remarks.Knowingly providing false, misleading, or inaccurate information may result in review and appropriate action in accordance with company policy and applicable law.

11. Repeated Non-Compliance
Repeated failure to follow the leave request procedure, attendance process, or official communication requirements may result in documented counseling, warning, or other appropriate action in accordance with company policy and applicable law.

12. Policy Updates
Velora Service may update this policy when necessary due to operational requirements, changes in internal processes, or applicable legal requirements. Employees will be informed of material changes through appropriate official communication channels.

13. Employee Responsibility
It is the responsibility of every employee to:
★ Check their attendance dashboard regularly.
★ Follow the Start Work and Stop Work process correctly.
★ Submit accurate daily work details.
★ Request leave through the official process.
★ Report attendance errors promptly.
★ Maintain professional communication with management, trainers, colleagues, and the Support Team.
